Key Dates Carriers Must Know
Deadlines stack up fast—UCR on Jan 1, IFTA quarterly, IRP apportionment early Q1, 2290 by Aug 31, and MCS-150 biennially. Illinois adds state-level requirements via the Secretary of State (SOS) and Illinois Department of Revenue (IDOR). Missing one date risks fines, expired plates, out-of-service status, and broker/insurance issues. This page is your master schedule and links directly to services that handle each filing for you.

State Trip & Fuel Permits — Critical Dates & Requirements
Some states require carriers to secure Trip Permits and/or Fuel Permits before entering the jurisdiction if the carrier is not fully registered under IRP/IFTA or is hauling certain loads. These permits are time-sensitive and often must be arranged same-day or within hours depending on the state’s enforcement rules.
When to Order Trip/Fuel Permits:
Before dispatching a load into a non-home-state jurisdiction
When adding a new truck not yet added to IRP/IFTA accounts
When purchasing a truck and moving it across multiple states before registration
For short-term operations in a state where full registration isn’t cost-effective
During periods when IRP/IFTA accounts are suspended or pending renewal
Required for:
Carriers entering NM without IRP credentials
Mileage-based tax compliance under NM HUT (Highway Use Tax)
Key Date:
Must be obtained BEFORE entering New Mexico
Permit validity: typically 72 hours
Important Note:
New Mexico is one of the few states with a strict pre-entry requirement. Scale houses actively verify compliance.
Required for:
Any CMV over 26,000 lbs operating in Oregon
Regardless of IFTA status
Key Date:
Permit must be secured BEFORE entering Oregon
Temporary permit validity: usually 10 days
Unique Oregon Rule:
Oregon does not participate in IFTA fuel tax for weight-mile obligations—making this permit mandatory.
Required for:
Non-IFTA carriers
Vehicles without IRP apportioned registration
Key Date:
Same-day permit required BEFORE entering Colorado
Validity: typically 72 hours
Additional CO Rule:
Colorado DOT may require extra clearance for oversize/overweight loads depending on route.
Some states issue enforcement penalties if a carrier operates without proper temporary permits. These states require pre-entry or immediate entry-day permits:
States with strict enforcement:
Kentucky (KYU Number)
New York (HUT Permit)
New Jersey (UCR verification required)
Connecticut (Highway Use Tax as of 2023)
California (Trip permit required if not IRP/IFTA)
Typical Validity:
24–96 hours depending on the state
Tip for Illinois fleets: When adding units mid-year, immediately update IRP, IFTA, UCR, MCS-150, 2290, and insurance. Use our Fleet Expansion Assistance to sequence filings correctly and avoid plate or scale-house issues.
Add Reminders (Best Practice)
Master Calendar: Create recurring events for all items above.
90/60/30 Day Alerts: Schedule three reminders before each annual deadline.
Quarterly Packets: Standardize IFTA source docs (fuel receipts, trip sheets, ELD mileage).
Owner-Op Packet: One checklist for UCR, IFTA, 2290, IRP, insurance, MCS-150.

FAQ — Illinois Key Dates
Does Illinois have a fixed IRP renewal date for everyone?
Illinois generally uses a standardized early-year cycle (commonly around Feb 1). Always verify the date on your cab card or IL SOS notice.
If I start operating a heavy vehicle in November, is 2290 still due Aug 31?
You file by the last day of the month following first-use (e.g., first used in Nov → due Dec 31).
What triggers my MCS-150 due month?
Your USDOT number determines the month; updates are biennial unless data changes require earlier updates.
Can late IFTA in Illinois hold my IRP renewal?
Yes—IFTA delinquencies can block IRP processing and new decals.
How do I avoid BMC-91X lapses affecting authority?
Coordinate insurance renewals so the e-filing posts to FMCSA before the policy rollover date.
